Privacy notice

Here at Southdowns Firewood we take your privacy seriously. This page explains what we collect, why we need it and what you can ask us to do with it.

Who we are

Southdowns Firewood is a small firewood business, run by a sole trader in Amberley, West Sussex. We cut, split and deliver logs across a 12 mile radius of the yard.

We are the data controller for the personal information described on this page. If you want to talk to someone about it, you’ll get the owner – there is nobody else to be passed on to.

What we collect

Only the things we need to quote for your logs and get them to you. That is usually:

  • your name;
  • your phone number, your email address, or both;
  • the delivery address, and any notes you give us about access – the gate code, the soft bit of the drive, where you’d like the load tipped;
  • what you asked for: the load, any extra kindling nets, the length you want the logs cut to, and the delivery day we agreed;
  • anything else you choose to write in a message, an email or a WhatsApp.

We don’t take card details through this website, and we don’t ask you for anything we have no use for.

Why we use it, and our lawful basis

Under UK GDPR we have to have a reason in law for using your information. Ours are set out below.

What we do What we use Lawful basis
Quote for your logs, agree a day and deliver the load Name, contact details, delivery address, order details Performance of a contract with you
Answer a question, a message or a missed call Name, contact details, what you asked us Legitimate interests – replying to people who get in touch
Keep a record of orders, deliveries and payments Name, address, order and payment records Legal obligation (tax and accounting records) and legitimate interests
Send you mailing list updates Your name and email address Consent – only ever if you asked to be added

Put plainly: we will only use the personal information you enter into a form on this website to respond to the request you are sending us. Nothing else happens to it.

The mailing list

We keep a short list of customers who want a note when the new season’s logs are ready and when delivery slots open up. You only go on it if you ask to. Every email we send has an unsubscribe link, and you can tell us to take you off at any time by phone, email or a message – you don’t need to give a reason.

Ordering logs does not put you on the mailing list. The two are kept separate.

Who we share it with

Nobody, in the ordinary run of things. We don’t sell, rent or swap customer details, and we don’t pass them to other traders.

The exceptions are the everyday services we use to run the business, which handle your information on our behalf and only on our instructions:

  • the company that hosts this website and passes on form enquiries;
  • our email provider;
  • our accountant and HMRC, for the order and payment records we’re required to keep.

We would also share information if the law obliged us to – a court order, for example. That has never come up.

Where it’s kept, and how

Enquiries and orders sent through this website are also stored on the website itself, so we can find them if an email goes astray, and they are deleted after the periods below. Your details also sit in our email account and on the phone and computer we run the business from. Those are protected with a passcode and kept up to date. Paper notes – a delivery run written out for the day – are disposed of once the round is done.

How long we keep it

  • Order records. Kept for as long as we’re required to keep business and tax records.
  • Enquiries that don’t turn into an order. Kept only for a reasonable period, then deleted.
  • Mailing list. Kept until you unsubscribe or ask us to remove you, then deleted.

If you’d like your details removed sooner than that, just ask.

Cookies and this website

This site does not ask you to sign in and does not build a profile of you. When you first arrive, a small notice asks whether we may set analytics cookies to see how the site is used. Nothing of that kind is set unless you say yes, and your answer is remembered in your browser so you are not asked again. You can change your mind by clearing the site’s data in your browser settings.

Your rights

UK GDPR gives you a set of rights over your own information. You can ask us to:

  • Show you what we hold – a copy of your personal information and what we do with it.
  • Correct it – if a name, number or address is wrong or out of date.
  • Delete it – where we no longer need it for the reasons set out above.
  • Restrict or object – stop us using it in a particular way, including anything we do on the basis of legitimate interests.
  • Move it – receive it in a form you can pass to someone else.
  • Withdraw consent – come off the mailing list, at any time, without giving a reason.

Ask by phone, email or post using the details at the top of this page. It costs nothing, and we’ll reply within one month.

If you want to complain

Tell us first if you can – most things are a misunderstanding and are sorted out in a phone call. If you’re still not happy, you have the right to complain to the Information Commissioner’s Office, the UK’s independent regulator for data protection. Their website is ico.org.uk, and it explains how to raise a concern. Complaining to the ICO does not stop you contacting us as well.

Changes to this notice

If the way we handle your information changes – a new mailing list provider, say, or a booking system on the website – we’ll update this page and change the date below.
